Data Protection and Privacy Policy - (GDPR)

When you supply your personal details to us they are stored and processed for four reasons. (The text in bold are the relevant terms used in the data protection act 2018, which includes the general data protection regulations (GDPR) – i.e. the law). This privacy notice applies to information we collect rom clients, potential clients and former clients. When you supply your personal details to us, we communicate verbally by email, telephone and handwritten formats. We only take notes about details required.

We need to collect personal information about you so that we can provide you with the best possible service. Your requesting of our services and our agreement to provide that service constitutes a CONTRACT. You can of course refuse to provide the information, but if you want to do that we would not be able to provide you with any of our services.

We have a “LEGITIMATE INTEREST” in collecting that information because without it we couldn’t do our job efficiently and safely. We also think that it is important that we contact you in order to confirm details and update you on the progress with your jobs. This again constitutes as LEGITIMATE INTEREST, but this time it is your best interest.

Providing we have your CONSENT, we may contact you occasionally to ensure that everything is satisfactory with your job.

Depending upon the type of job we are performing for you, we may pass your details onto 3rd parties including:

* Building control (building works) planning regulations
* Fensa (legal requirements)
* QANW (insurance provider)

These 3rd parties may be in contact with you to comply with the legal obligation involved with the job undertaken. Depending upon the size of your job we may seek information about you from credit agencies and debt recovery organisations in the case of incomplete payment for the job carried out. All 3rd parties have assured us that they comply with GDPR requirements. We also have a LEGAL OBLIGATION to retain your records for a period of 8 years after completion of works, but after this period you can ask us to delete your records if you wish. It is our policy to securely dispose of any records over 10 years old. (usually through a secure shredding and recycling specialist).

Your records are stored in lockable filing cabinets in our office, which is always locked from public access when not occupied. Security camera and out of hours alarm also secure the building. As for our electrical devices; our printers are wireless and we have been assured that they are fully compliant with the GDPR regulations. All our computers are password protected, backed up regularly on an encrypted hard drive and all the data is stored in our safe.

We will never share your data with anyone without your consent. Only the previously mentioned agencies/organisations may have access to your data. The shared data should cause no reason to complain or object as there are legal requirements which would be required by the house owner as proof of correct/legal installation.

Our staff require it to process your order. Our bookkeepers, VAT/tax inspectors and administration will also require access when necessary to carry out their work. On occasion, we may have to employ consultants/ accountants which may require access to personal data. We will ensure that they are fully aware that they treat your information confidentially and have a non-disclosure agreement in place.

You have the right to see what personal data of your we hold and can also ask us to correct any factual errors. Providing the legal minimum period has elapsed, you can also ask us to erase your records.

We want you to be confident that we are treating your personal data responsibly and that we are doing everything we can to make sure that the only people who can access that data have a genuine need to do so.

Of course, if you feel that we are mishandling your personal data in some way, you have the right to complain. Complaints need to be sent to what is referred to in jargon as “the data controller”. Here are the details you need for that:
